Works under the supervision of the Contract Manager providing administrative and technical support to office and school staff regarding purchasing contracts. Monitors and maintains all records related to contracts. Reviews contract terms and conditions to ensure compliance with federal, state laws and Shelby County Board of Education (SCBE) policies.
Assigns contract request to contract team and general counsel’s office.
Investigates and resolves problems related to the contracting process.
Evaluates and monitors contract performance to determine necessity for amendments or extensions of contracts, and compliance to contractual obligations.
Verifies the receipt of all pertinent documentation for new contacts meets the requirements as outlined in or according to board policy.
Maintains all data required to conduct product quality and/or vendor performance review evaluations in order to determine vendor renewal.
Assists management in capturing required documentation in support of claims or complaints which may occur in performance of contracts.
Initiates contract assignment processes and tracks all purchasing, construction, lease, or service contracts and all supplemental documentation from initiation to conclusion of projects.
Maintains contract database files for tracking contracts to prepare repots for contract planning and maintenance.
Assists management in obtaining required documentation in support of claims or complaints which may occur in performance contracts.
Reviews, monitors and performs follow-up of bids and purchases to ensure continued compliance with contracted vendors, and provides direction accordingly.
Monitors contract cost effectiveness and supplier performance to ensure contract compliance.
Monitors all contract deadlines and conditions to ensure timelines are kept and all relevant payments or information has been met.
Performs other related duties as assigned or directed.
Graduation from an accredited college or university with a Bachelor’s Degree in Business Administration or related field; OR equivalent combination of related education/experience totaling four (4) years. Certified Public Procurement Buyer (CPPB) or Certified Public Procurement Officer (CPPO) certification preferred. (PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED)
