  • Purpose and Scope

    Supports the Policy Office by performing high-level administrative services. 

    Essential Job Functions

    1. Performs a full range of administrative work for multiple programs and projects for the Policy Office, which reports to the General Counsel.
    2.  Identifies issues or problems and seeks alternative solutions consistent with applicable regulations.
    3.  Prepares and maintains a variety of reports, records, correspondence, and files related to assigned service, activities, and operations; provides for appropriate research and compiles reports, as needed.
    4. Provides administrative support to the policy, intergovernmental affairs and constituent services divisions
    5. Assists the policy advisors in responding to constituent concerns and ensuring that they are logged properly.
    6.  Provides administrative and clerical support to the Policy Office in legislative agenda efforts.
    7.  Responds to routine requests for policy information from the public and refer other policy requests to appropriate individuals in a timely manner.
    8. Maintains the website that displays District policies, ensuring that new or revised policies are uploaded properly.
    9.  Refers and/or responds to all telephone inquiries for the Policy Office.
    10. Maintains the Policy Office’s filing system, schedules hearings, prepares files, responses and completes planning logistics for meetings as needed.
    11.  Attends meetings, prepares notes, and memos.
    12.  Serves as back-up support to the Board Office.
    13.  Performs other related duties as assigned or directed.

    Minimum Qualifications

    Requires a High School diploma or equivalent plus three (3) years of secretarial/clerical and computer experience, or equivalent, for a total education/experience of three (3) years. Certification in Microsoft Office and/or Administrative Professional (CAP) preferred. (PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED).

     

    Degree Equivalency Formula:

     

    Bachelor’s Degree= 4 years plus required years of experience.

    Master’s Degree= 2 years plus required years of experience. Where Master’s degrees are required, years for Bachelor’s Degrees must be included. 

    Knowledge, Skills, and Abilities

    • Knowledge of administrative procedures and research techniques
    • Knowledge of the functions of the school division and its operating procedures
    • Must possess analytical and organizational skills, good judgment, and initiative
    • Considerable ability to evaluate information, perform analysis and prepare written and oral recommendations
    • Ability to develop and maintain effective working relationships
    • Ability to coordinate multiple priorities
    • Ability to operate a computer and use appropriate software applications and peripheral office equipment
    • Demonstrated proficiency in business English, grammar, spelling, and punctuation

    Physical Requirements and Working Environment

    Physical Demands: Requires sedentary work involving standing or walking for brief periods, exerting up to 10 pounds of force on a regular basis; and some dexterity in operating office equipment; must be able to use hands and fingers for sign language.

     

    Unavoidable Hazards:  The position is exposed to no unusual environmental hazards.

     

    Sensory (ADA) Requirements: The position requires normal visual acuity and field of vision, hearing and speaking abilities.
