Purpose and Scope

Plans and implements athletic program to provide students within the Shelby County School District, so that student-athletes can have a safe enjoyable athletic experience. Responsible for the coordinating athletic efforts, serves as a liaison for the District, and maintains a cooperative working relationships with athletic staff, schools, administrators, parents, businesses, and organizations.

Essential Job Functions

  1. Provide assistance and support to the Athletic Division and Director in providing oversight, monitoring, compliance, and professional development of the district's Athletic Program.
  2. Assists in monitoring and managing assigned budgets and/or funds; makes journal entries and budget adjustments as required; prepares budget and financial reports as requested.
  3. Examines, verifies and reviews financial accounts, invoices, bills and vouchers; assists with external audits; research accounting problems and discrepancies in records; makes or initiates corrections as needed.
  4. Processes payroll for the office and event staff for various activities. Works with Financial Secretaries on athletic matters as needed.
  5. Works collaboratively with athletic staff to determine, secure and supervise event staff for centralized athletic events and camps. Ensure compliance with administrative/support personnel and volunteer staff.
  6. Assist with negotiations for space contracts and books event space. Arrange food beverages, order supplies and audiovisual equipment, make travel arrangements.
  7. Gather required information on each project to achieve quality event production and planning. Conduct research, make visits, and find resources to help staff make decisions about event possibilities. Create and revised room layouts for each event. Prepare communications, materials, notebooks, packages, gift bags, registration lists, seatings cards, etc.... Propose new ideas to improve the event planning and implementations process.
  8. Serve as liaison with vendors on event-related matters. Assist with managing on-site production and clean-up for events as necessary. Conduct after actions reviews and close out all events as required.
  9. Perform other duties as assigned by the Director.

Minimum Qualifications

Graduation from an accredited college or university with a Bachelor's Degree in related field of study, plus an additional two (2) years related experience, OR a combination of equivalent relevant experience for a total of 6 years. (PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED)

Degree Equivalency Formula:

  • Bachelor’s Degree = 4 years plus required years of experience.
  • Master’s Degree = 2 years plus required years of experience.
  • Where Master’ degrees are required, years for Bachelor’ Degrees must be included.
